POSITION SUMMARY

The Shipping Coordinator is part of the team responsible for the day-to-day shipping and receiving operations. This includes, coordination, preparation and organization of bills of lading, packing slips, invoices and required export licenses or compliance documents (schedules inbound/outbound traffic, prepares documentation for outbound shipments and contacts carriers for rates/availability).  Utilizes internal process to record and track all shipping transactions. Troubleshoots shipping delays or changes with carriers and communicates to customers. Receives, stores, packs and ships merchandise or materials.  Will assist in reconciliation of month end inventories and maintains appropriate levels of supplies and places orders when needed.

Ensures shipping protocols and documentation meet required regulatory requirements for hazardous materials (DOT/HAZMAT) or special handling. Investigates and resolves shipping non-conformance.

Maintain highly organized processes and work areas for maximum efficiency.  

ESSENTIAL FUNCTIONS

  • Communicates with Logistics Supervisor/Manager and Team Leader to ensure that all shipping and receiving needs are met and notifies team members of changes in schedule so workload can be adjusted accordingly. This includes maintaining accurate records of all appointments on a Shared Microsoft Outlook calendar.
  • Works with SALS group, trucking companies, carriers and freight forwarders ensuring necessary documentation is available to prepare accurate shipping documents. Notify Sales and SALS group when required delivery date can’t be met, transportation cost is too high, or trucks are not available.
  • Prepares shipping documents in accordance with written procedure and customer requirements
  • Verify that material being shipped meets all legal requirements including hazmat regulations and weight restrictions.
  • Maintain a list of approved carriers, request rate quotes from approved carriers, and schedule carriers to meet required delivery.
  • Check all inbound material for quality approval, print all necessary quality related receiving documents. Investigates and communicates with Purchasing and Quality Control departments if material does not meet requirements.
  • Confirms all incoming materials have an SDS in the CIMS database. This also includes checking incoming material database for all imports to make sure that they are in compliance with Fujimi’s CT-PAT related documents and inbound container check sheet with quality receiving documents.
  • Prepare physical inventory count sheets, completes physical counts, and assists in the reconciliation of any discrepancies that may occur. Reconciles all discrepancies prior to entry into system. Notify interested parties when materials have arrived or when there are discrepancies.
  • Records all inventory related transactions into Microsoft Dynamics SL. Enters all applicable raw materials in FCPDB and all non-inventory related transactions into Req Logic.
  • Pull orders using forklift, pallet jack, or cart and complete all inspections as detailed in written procedure.
  • Physically load and unload trucks using forklift or pallet jack, complete all inspections, and complete receiving documentation in accordance with written procedure.
  • Conduct regular counts of non-inventory items in the office area and warehouses and place orders for needed items.
  • Create load plans and make sure that weight is evenly distributed in shipping trailer or container.
  • Performs other job-related duties as assigned.

SKILLS & ABILITIES

EducationHigh School Graduate (Diploma) or General Education Degree (GED) required.
ExperienceRequires 1 years warehouse/shipping & receiving experience.  Equivalent Fujimi experience will be considered.  
Computer SkillsMust be proficient with Microsoft Office products including Word, Excel, and a working knowledge of inventory management systems (Dynamic SL is desired).
Certifications & Licenses1 year forklift experience.  DOT training or successful completion of DOT training within 2 months is required.  HAZMAT training is required, all shipping and receiving of hazardous material must be done in accordance with applicable regulatory organization.

Other Physical Requirements: Ability to wear Personal Protective Equipment (PPE) – Safety glasses (ANSI Z87+) required, hearing protection and gloves may also be used.
